Privacy Policy

Living Rent is committed to safeguarding the privacy of our members, supporters and website visitors. We believe you have the right to privacy. This policy sets out how we will treat your personal information.

1. We collect information about you:

(1) When you give it to us directly

You may give us your personal data when you sign an online form, paper form, online petition, paper petition; when you share information about Living Rent from our website on Facebook, Twitter and/or via email; when you apply for employment with us; when you apply to volunteer with us; when you contact us by phone, email or post; and/or when you donate money to us or contribute membership subscription. We use standardised paper sign up forms and petitions that allow you to opt in and out of communication with Living Rent.

(2) When you give it to us indirectly

Your information may be shared with us by others including users of our services, independent event organisers, other fundraising entities, sponsors and supporters of our organisation and services. Your information will also be provided to us when you follow us or otherwise interact with on or via Twitter; when you like and/or join our page on Facebook; and/or interact with us in other ways on or via Facebook.

(3) When you give permission to other organisations to share it or it is publicly available

We may combine information you provide to us with information available from external publicly available sources. Depending on your privacy settings for social media services, we may also access information from those accounts or services. We use this information to gain a better understanding of you and to improve our communications and fundraising activities.

(4) When you visit our website

We use cookies to identify you when you visit our website and to enable us to personalise your online experience (for example by remembering your log-in details).

2. What information do we collect?

We may collect, store and use the following kinds of personal data:

  (a) information about your computer and about your visits to and use of this website including your IP address, geographical location, browser type, referral source, length of visit and number of page views;

  (b) information relating to any transactions carried out between you and us on or in relation to this website, including information relating to any contribution you make to us;

  (c) information that you provide to us for the purpose of registering with us or signing a form or a petition e.g. your email address, phone number, address and other personal information when you sign;

  (d) information that you provide to us for the purpose of subscribing to our website services, email notifications and/or newsletters; and

  (e) any other information that you choose to send to us.

3. Do we use cookies?

The Living Rent website uses “cookies” to help personalise your online experience. A cookie is a text file that is placed on your hard disk by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you, and can only be read by a web server in the domain that issued the cookie to you.

One of the primary purposes of cookies is to provide a convenience feature to save you time. The purpose of a cookie is to tell the web server that you have returned to a specific page. You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer.

4. Our legal basis for processing your personal data

We need a lawful basis to collect and use your personal data under data protection law. The law allows for six ways to process personal data (we do not hold sensitive personal data, such as ethnicity or religion). Three of these are relevant to the types of processing that we carry out. This includes information that is processed on the basis of a person’s consent, processing that is necessary for compliance with a legal obligation and ‘legitimate interests’ (see below).

Personal data may be legally collected and used if it is necessary for a legitimate interest of the organisation using the data, if its use is fair and does not adversely impact the rights of the individual concerned.

When we use your personal information, we will always consider if it is fair and balanced to do so and if it is within your reasonable expectations. We will balance your rights and our legitimate interests to ensure that we use your personal information in ways that are not unduly intrusive or unfair.

Our legitimate interests include:

  (a) Good Governance: including delivery of our organisations purposes, statutory and financial reporting and other regulatory compliance purposes, engaging and involving our members in the democratic governance of our organisation.

  (b) Administration and operational management: including responding to inquiries, providing information, and events management, and most importantly keeping our membership informed and involved.

  (c) Fundraising and Campaigning: including administering campaigns and donations, sending thank you communications, analysis, targeting and segmentation to develop communication strategies, and maintaining communication. To ensure the financial security of the Living Rent, so that we can keep pursuing the purposes of our organisation.

5. How will we use your personal data?

Personal data submitted to us will be used for the purposes specified in this privacy policy or in relevant parts of the website.

We may use your personal information to:

  (a) administer the website;

  (b) improve your browsing experience by personalising the website;

  (c) enable your use of the services available on the website;

  (d) send statements and receipts to you, and collect payments from you;

  (e) send you general (non-marketing) communications;

  (f) send you email, text and telephone notifications which you have specifically requested;

  (g) send you marketing and fundraising communications relating to Living Rent and our campaigns, which we think may be of interest to you;

  (h) provide third parties with statistical information about our users – but this information will not be used to identify any individual user; and

  (i) deal with enquiries and complaints made by or about you

  (j) Where you submit personal information for publication on our website, we will publish and otherwise use that information in accordance with the license you grant to us.

  (k) We will not sell, rent or share your personal data with third party organisations, unless it is clearly for this purpose, such as a petition you have signed that is to be delivered to a third party.

6. Fundraising/Campaigning aka “Direct Marketing”

Those of you who we currently have a relationship with, before 25th May 2018, we will continue to use your data as before, and offer an explicit opt-out for any communications you no longer wish to have, if any. We base this off our ‘legitimate interests’ (see above). Those of you who have become involved following the 25th May 2018, we will ensure that there is an explicit opt-in at the start of our relationship, and that you will be able to opt-out at any time.

7. Donations

All our donations and membership subscription transactions are handled through our payment services providers, Stripe, GoCardless, and our Nationbuilder platform. You should only provide your personal information to Nationbuilder ,Stripe and GoCardless after reviewing their respective privacy policies. We will share information with Stripe and GoCardless and Nationbuilder only to the extent necessary for the purposes of processing payments you make via our website. We do not store your financial or credit card details.

8. Other disclosures

In addition to the disclosures reasonably necessary for the purposes identified elsewhere in this privacy policy, we will disclose information about you only when required to do so by law.

9. Security of your personal data

We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. We store your contact information on our Nationbuilder Database (https://nationbuilder.com/dpa). You are responsible for keeping your user details confidential if you create an account on our website. 

Some of our service providers are based outside of the EU. Where we transfer your data to a service provider that is outside of the EU we ensure that appropriate safeguards are in place to make sure that your personal data is held securely and that your rights are upheld.

10. Policy amendments

We may update this privacy policy from time-to-time by posting a new version on our website. You should check this page occasionally to ensure you are happy with any changes. We may also notify you of changes to our privacy policy by email.

11. Your rights

On receipt of proof of identity and a written request, you may have a copy of any information that we hold about you. Dealing with requests will the responsibility of the designated data protection officer. If you believe any data we hold is incorrect, please get in touch and we can correct this. 12. Third party websites

The website and occasionally our emails contain links to other websites. We are not responsible for the privacy policies or practices of third party websites.

13. Unsubscribing

You may unsubscribe from Living Rent communications at any time by clicking the unsubscribe link in the footer of any email we send.
